Vokeva AI ("Vokeva", "we", "us", or "our") operates the vokeva.com website and the Vokeva AI platform. This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use our services.
By using Vokeva, you agree to the collection and use of information in accordance with this policy.
1. Information We Collect
Account information
When you create an account, we collect your name, email address, company name (optional), and password (stored as a hashed value — we never store plaintext passwords).
Usage data
We automatically collect information about how you interact with the platform including: pages visited, features used, agent configurations, call and chat volumes, and error logs. We also track your monthly usage (voice minutes, chat messages, and support tickets) to apply your free allocation and process any credit top-ups.
Call and conversation data
When your AI agents handle calls or chats, we store transcripts, call recordings (if enabled), and conversation summaries. This data is associated with your account and is used to provide the service.
Payment and billing information
Vokeva operates on a usage-based model. When you top up your account, payments are processed manually via email — we do not store credit card numbers or banking details on our servers. Billing correspondence is retained for accounting and legal purposes.
Communications
If you contact us by email, we keep a record of that correspondence including your email address and the content of messages.
2. How We Use Your Information
- To provide, operate, and improve the Vokeva platform
- To track your monthly usage allocation and process credit top-ups
- To send transactional emails (signup confirmation, usage alerts, top-up confirmations) via Resend
- To send product updates and marketing emails (you may opt out at any time)
- To analyse usage patterns and improve platform performance
- To detect and prevent fraud, abuse, and security incidents
- To comply with legal obligations
We do not use your data or your customers' conversation data to train AI models. Your data is yours.
3. Information Sharing
We do not sell, trade, or rent your personal information to third parties. We share data only in the following circumstances:
- Service providers: We use third-party services (OpenAI, Anthropic, Google, Deepgram, Twilio, ElevenLabs, Supabase, Resend) to operate the platform. These providers process data on our behalf under data processing agreements.
- Legal requirements: We may disclose information if required by law or in response to valid legal process.
- Business transfers: In the event of a merger or acquisition, user data may be transferred as part of that transaction.
4. Data Storage & Security
Your data is stored on servers hosted by Supabase (PostgreSQL database) and Render (application servers). All data is encrypted in transit (TLS 1.2+) and at rest (AES-256).
We retain account data for as long as your account is active. Call transcripts and conversation logs are retained for 90 days. You may request deletion of your data at any time by contacting us.
5. Cookies
We use essential cookies for authentication (to keep you logged in) and analytics cookies to understand how the platform is used. We do not use advertising cookies.
You can control cookies through your browser settings. Disabling essential cookies will prevent you from staying logged in.
6. Your Rights
Depending on your location, you may have the following rights:
- Access: Request a copy of the personal data we hold about you
- Correction: Request correction of inaccurate data
- Deletion: Request deletion of your account and associated data
- Portability: Request your data in a machine-readable format
- Opt-out: Unsubscribe from marketing emails at any time

7. Children's Privacy
Vokeva is not directed to children under the age of 13. We do not knowingly collect personal information from children. If we become aware that a child under 13 has provided personal information, we will delete it promptly.

We may update this Privacy Policy from time to time. We will notify you of significant changes by email or by a notice on the platform. The "Last updated" date at the top of this page reflects the most recent revision.
